So just make sure that the lists start new archive notebooks weekly
(daily?) and then write a program (script, macro, batch file, whatever)
that will delete files older than a certain number of days and schedule
it to run once a week. But if you are going to do this, you also have to
make sure that you delete the old archives from all your backup tapes,
make sure that employees aren't copying the archives down to their own
disks or tapes, and that nobody is keeping hard copies. At that point,
you will also want to install surveillance cameras all over the building
and search every employee as they leave the premises. <grin> And even
then you still won't get all the copies.
